Guide
Taktplan step by step. Choose a chapter. The numbers in the text match the marked spots in the pictures. In Taktplan the ? at the top right opens the quick help for looking things up; from there, “Detailed help” brings you here. The i next to it shows and hides the explanations in the list.
First steps
What you need
- A user name and password. You get both by email when you join the beta test.
- The schedules of your bands and music schools as Excel or CSV files. Taktplan reads PDF and Word files only with ✦ Claude (feature “Sort the inbox with Claude”, Tutti). Without Claude, tables from them can be copied into Excel or Numbers and saved as .xlsx.
- Getting started is easiest on a computer. Everything works the same on iPhone and iPad; there you choose the file via “Files”.
- An up-to-date browser: Safari 16.2 or later (on iPhone and iPad from iOS or iPadOS 16.2), Chrome and Edge 111 or later, or Firefox 113 or later. JavaScript and cookies must be allowed; this is the default setting.
- 1Sign inWith user name and password, once per device.
- 2Add Taktplan to your Home ScreenOpen Taktplan like an app.
- 3Load your first scheduleExcel or CSV file in four steps.
- 4Enter teaching times (music schools)Weekly teaching days for music schools.
- 5Reading the overviewPeriod, filters, note boxes and schedule.
- 6Printing and the date of the eventsPrintout with date, notice when events change, print history.

Evaluation
Once signed in, you see the complete manual, with a chapter for every feature you can use in Taktplan.
1Sign in
Open taktplan.ridor.de. On your first visit the introduction page appears; tap Sign in there.
- 1Type your user name.
- 2Type your password. Upper and lower case matter.
- 3Tap Sign in.
The device then stays signed in. You sign in once on each further device; all of them show the same data.
2Add Taktplan to your Home Screen
This lets you open Taktplan like an app with its own icon, without typing the address.
iPhone and iPad
- Open Taktplan in Safari.
- Tap Share. In newer iOS versions it sits behind ••• at the bottom right.
- Choose Add to Home Screen. If a switch for “Web App” appears, leave it on.
- Tap Add.
Mac
- Open Taktplan in Safari (macOS 14 Sonoma or later).
- Click the Share icon at the top right, or in the menu bar choose File › Share.
- Choose Add to Dock and confirm.
Chrome and Edge (Windows, Mac)
- Open Taktplan in Chrome or Edge.
- Click the install icon at the right end of the address bar. If it is missing, look for Install Taktplan in the menu at the top right (⋮ or …); depending on the version it sits in a submenu.
- Confirm with Install. Taktplan then opens in its own window and starts like any other program.
On other devices a bookmark is enough.
3Load your first schedule
After your first sign-in Taktplan is still empty.
- 1+ List at the top is always there, later too, for every further list.
- 2Load first list appears as long as no list has been loaded.
Both open the same window with four steps. The example shows the annual plan of a Wind Band.
Step 1 of 4: File
- 1Name of the band or school. Next to it a short name that appears in the schedule, e.g. “Bergtal”.
- 2Kind: Band / orchestra or Music school. For music schools concerts are called “Recital”, and there are teaching times (step 4 of this guide).
- 3Region for public holidays: any state in Germany or Austria, any canton in Switzerland, or the Netherlands. Taktplan later uses it to show which events fall on a public holiday.
- 4School holidays of this region. For music schools the matching region is already selected, for bands it says “none”. Taktplan adds the holidays to the list and skips teaching during them. Holidays already in the file take priority. Below it you can see until when the holidays are known.
- 5Colour of the list.
- 6Choose the file: tap and pick the Excel or CSV file. On a computer you can also drag it in. If you choose several files at once, each one becomes its own list and Taktplan goes through them one after the other.
- 7Next.
Step 2 of 4: Columns
Taktplan usually recognises the columns by itself. You only check that they fit:
- 1Sheet. If several sheets have the same header row, Taktplan offers to read them together.
- 2Which Excel row holds the column headings.
- 3Date and 4 Event must be assigned (marked with *), everything else is optional.
- 5The first rows of the file, for checking.
- 6Next.
Step 3 of 4: Rules
Rules decide which rows concern you. Without a rule Taktplan takes over every row with a date.
- 1In the example only the rows whose “Teilnehmer” (participants) column contains Aktivmitglieder or Musikkommission. Separate several values with commas.
- 2Substitute: if the “Leitung” (conductor) column says Vize, Taktplan marks the event as a substitute.
- 3Always take over holidays and days without lessons. For music schools this is already ticked.
- 4Time for rehearsals that have none in the list.
- 5Preview.
Step 4 of 4: Preview
- 1Summary: how many events of which kind were recognised and how many rows the rules have hidden.
- 2Type recognised wrongly? Change it directly in the table.
- 3Untick to leave out a single row.
- 4Add list.
You load every further list the same way with + List. Everything can be changed later under Settings › Your events › Lists › Rules and columns.
4Enter teaching times (music schools)
Schedules from music schools usually contain no lessons. So that Taktplan detects clashes with rehearsals, enter your teaching days once: Settings (gear at the top right) › Your events › Teaching times.
- 1One row per teaching day: school, weekday, from, to and venue.
- 23 First and last teaching day of the school year.
- 4+ Teaching day adds another row.
Taktplan automatically skips holidays and public holidays in the school’s list, as well as the regional school holidays you chose when loading the list.
5Reading the overview
- 1Period: season, year, previous year, next year, quarter, half-year, week, month, custom period or all events.
- 2Filters opens groups, filters and view on the iPhone (see below). On a computer they are always open.
- 3Explanations: legend and explanatory texts. Collapse them once you know your way around; your choice is saved.
- 4Settings.
- 5Help: opens the quick help. “Detailed help” in it leads to this guide.
- 6Notes hides the note boxes (see “Appearance and notes”).
- 7Number of events in the period, plus the free days when they are shown and how many of them are holiday days. Free means no event at all in the selected groups; the filters do not change this. A free day counts as a holiday day if all your schools have holidays. It also counts if your lesson or rehearsal on that day is cancelled because of the holidays. Example: you teach in Bavaria on Thursdays and it is the autumn break there. That Thursday counts as a holiday day, even if schools are open in Austria. Below it, the as-of time of your events.
- 8Note boxes, e.g. clashes, to-dos or unconfirmed events. Tap to expand.
Filters and view
- 1Groups: show or hide lists.
- 2Filters: teaching on or off, only substitutes, meetings, performances or appointments, show past events, search.
- 3View: Until main performance shows all rehearsals of each band up to its next main performance. “Free days” and “School hols” add their own lines; “Busy holidays” and “Busy school hols” only show the events on such days.
- 4Tap Filters again to collapse everything.
The schedule
- 1Clash: two events from different lists overlap. Marked red, with its own note box at the top.
- 2Week of a performance or recital: the performance and that week’s rehearsals are lightly shaded in the list’s colour.
- 3School holidays and public holidays are shaded grey, hatched in the bold appearance.
- A line separates the weeks.
- All events except teaching and rehearsals are bold.
- A grey ? marks events that are not yet confirmed according to the list.
Appearance and notes
Under Settings › General › Appearance you choose how Taktplan looks:
- 1Calm (default): light surfaces, few borders, holidays in grey. Bold: dark header rows, coloured month bars, holidays hatched. The pictures in this chapter show this look. This choice applies on all devices you are signed in on.
- 2Like device (default): if the device is set to dark, at night for example, Taktplan turns dark too. Light or Dark always stays that way. This choice applies only to the device you make it on.
The Notes button in the line with the number of events hides the notes boxes, such as to-dos or unconfirmed events. The box with clashes always stays visible. On a computer the button sits on the right, on a smartphone on the left. If you prefer it on the left on your computer, set this under Appearance as well.
6Printing and the date of the events
Print at the top prints exactly the view you see: period, lists and filters. Each month starts on a new sheet. In the print dialog, “Save as PDF” gives you a PDF.
Date of the events
- 1At the top right: the date of the events, i.e. when something last changed in your events.
- 2The same date is on every month sheet. If two printouts hang side by side, you see at once which one is newer.
In Taktplan the date is next to the number of events. Filters, language or appearance do not change it, only changes to the events themselves.
Notice: printout out of date
Taktplan remembers every printout. If anything changes afterwards in events that are on the printout, this notice appears at the top of the list:
- 1When it was printed, which view and which lists, and the date on the printout.
- 2What has changed since then. Changed and new events are listed one by one, so you can also update the printout on the wall by hand.
- 3Print again restores the view from back then and opens the print dialog.
- 4Hide hides the notice until something changes again.
The notice only concerns what is on the printout. If you printed only one band, there is no notice when something changes in another.
Print history
Under Settings › General › Print history you find your printouts, the same on all devices.
- 1Turn the notice on or off.
- 2For each printout: when, which view and lists, how many events and whether it is still up to date. If you print the same view again, the older printout counts as replaced.
- 3Print again as in the notice.
- 4× removes the entry.
6Your own start view
With your own start view, Taktplan opens the same way on all your devices, for example always with the quarter and without the beginners’ band. Without it, Taktplan opens the way you last left it. You find it under Settings (gear at the top right) › General › On start.
- 1Switch on Use my own start view. Taktplan takes over the view you are looking at right now.
- 2Period when opening.
- 3Which lists are shown at start. New lists are always included.
- 4Filters and view: teaching, past, rehearsals until the next performance, free days, school holidays, holidays with events and explanations.
- 5Use current view saves what you see right now as the start view.
- 6Show start view now jumps there straight away. Reset switches your own start view off again.
7Programme and rehearsal planTutti
With the programme of a performance, Taktplan plans the rehearsals up to it: which piece was rehearsed when, what is still missing and what you plan for the next rehearsal.
Enter the programme
Tap a performance in the list, then Enter programme.
- 1One line per piece: title; composer; arranger. A line starting with # becomes a subheading, e.g. “# After the break”. You can paste tables copied from Excel, Numbers or Word directly.
- 2Copy from … copies the programme of another performance, e.g. when you play a concert twice.
- 3A note, e.g. “Encore still open”.
- 4Save. The list then shows Programme at the performance.
Plan the rehearsal
Tapping a rehearsal opens the rehearsal plan.
- 1‹ › moves to the previous or next rehearsal.
- 2The target is the next main performance, plus “rehearsal 3 of 13” up to it. A main performance is a concert, contest, music festival … or a performance with a programme. A small performance, such as a serenade, does not interrupt the rehearsal phase.
- 3To-dos due by this rehearsal. You can tick them off right here.
- 4For each piece: touched on, thorough or run-through. Tap again to remove the level.
- 5📌 plan schedules the piece for this rehearsal.
- 6A note, e.g. bars or focus points. It is saved when you leave the field.
- 7When the piece was last rehearsed in this phase.
Parts missing: If the parts are not here yet, for example still with the publisher or the librarian, tap 📄 Parts missing on the piece. The note applies to all rehearsals up to the performance and also shows in the phase overview (📄 after the title). Tap again to remove it.
Links for the rehearsal phase: Recordings, part assignments, rehearsal schedules or other documents are often kept in a cloud. In the rehearsal plan tap 🔗 Link, paste the share link from iCloud, Dropbox, Nextcloud or another cloud and give it a name, such as “Recordings”. The link then appears at every rehearsal in this phase; one tap opens it. Taktplan stores only the link, no files. Who may open it is up to your cloud settings.
Order in the rehearsal
With ↕ Order to the right of the tabs you decide in which order you take the pieces in this rehearsal, for example the hardest first. Move with ↑ and ↓, or drag on a computer, then Done. The order applies only to this rehearsal; the printed rehearsal sheet uses it. As in the programme restores the programme order.
Phase overview
- 1Phase overview shows all pieces and all rehearsals up to the performance.
- 2Red with ⚠: not yet rehearsed in this phase. Brown with ⏳: not played for at least three rehearsals.
- 3Tap a date to open that rehearsal.
- 4All notes of the phase, sorted by piece.
- 5Prints the running order of the rehearsal that is open (next chapter).
It also works from the performance: tap the performance › Rehearsal overview.
8Print rehearsal sheet
An A4 sheet to print for every rehearsal, already filled in. At the podium, paper and pencil are often quickest.
How it works: tap a rehearsal › 🖨 Print rehearsal sheet. With programme and rehearsal plan, the button sits at the bottom of the rehearsal plan.
- 1Ensemble, date, rehearsal, project and “3 of 13” are already filled in.
- 2Number of open to-dos by this rehearsal. The to-dos themselves are on the back.
- 3The next rehearsal, for the announcements at the end.
- 4Planned pieces with their note are already in the rows, in the order of this rehearsal.
On a computer a new window opens; on iPhone and iPad the sheet appears in the same window. Choose Print there; Close takes you back to Taktplan. In the print dialog “Save as PDF” gives you a PDF. The back has room for a sectional, reference recordings, to-dos and the return of parts.
9General pause
With a general pause you block time, for example a long-planned family trip. Taktplan reports every event that falls into it. You don’t have to explain anything to anyone.
- 1Note it in the Inbox, for example “family trip 13.11. to 15.11.”, then click → General pause on the entry. Or go to Settings › Your events › General pause and click + New general pause.
- 2Check the date and add the end and a time if needed. Without a time, the whole day is blocked. The title is only for you and your family.
- 3Save. If an event already falls into that time, Taktplan shows the clash right in the window.
In Taktplan
- The general pause appears as its own grey line in the list. Edit and delete it with ✎.
- If an event later falls into that time, for example with a new version of a list, Taktplan reports a clash. You can enter a substitute for the other event right there.
- Days of a general pause do not count as free days. When you look for make-up lessons in the timetable, they stay free.
- Printouts and the text for sharing only say “General pause”, without the title.
Who sees it
General pauses only exist in Taktplan itself. Who else sees something of them:
- Management with its own Taktplan access: only “busy”, without title or note.
- Family with its own access: the general pause with its title.
- Your own calendar link: “General pause: title”.
- Not included: wall display and concert dates on your website.
